Inside Sales Coordinator

Job Summary

The Inside Sales Coordinator is a highly organized and assertive position that interacts with inside and outside stakeholders and facilitates processes and communications.

This role is multifaceted, blending the responsibilities of inside sales support, customer service, and administrative coordination. The ideal candidate will be responsible for coordinating leads and quote requests from our field sales team, ensuring thorough and organized communication between sales and operations, and maintaining excellent rapport with our customers.

Key Responsibilities

  1. Sales Coordination:
    • Manage incoming leads and quote requests from the sales team.
    • Coordinate with field sales representatives, ensuring they remain organized, accountable, and provide all necessary information to operations.
    • Maintain accurate tracking and follow-up on leads, quotes, and orders.

  2. Customer Service & Relationship Management:
    • Serve as the primary contact for all incoming sales inquiries and requests, providing timely and professional responses.
    • Build and maintain excellent relationships with customers, ensuring high levels of satisfaction and repeat business.
    • Manage customer accounts and ensure all relevant information is up-to-date in the CRM system.

  3. Administrative Support:
    • Maintain sales-related files, mailing lists, and generate reports using QuickBooks.
    • Assist in the preparation of sales reports, quotes, and other key documentation.
    • Provide administrative support to the sales team as needed, including generating mailing lists and organizing files.

  4. CRM and QuickBooks Management:
    • Utilize CRM systems to manage customer data, track interactions, and ensure consistent follow-up.
    • Work within QuickBooks to generate necessary reports and manage sales data.

  5. Continuous Improvement:
    • Actively participate in process improvement initiatives to enhance productivity, efficiency, and quality within the radar measuring product manufacturing area.
    • Contribute ideas and suggestions for process optimization, waste reduction, and overall operational improvements.
    • Assist in the implementation of process improvement projects and provide support during the transition period.
  6. Health and Safety:
    • Adhere to all health and safety protocols and guidelines to ensure a safe work environment.
    • Proactively contribute to maintaining a culture of safety and ensure compliance with all safety policies and procedures.

Qualifications & Skills

  • Experience:
    • Minimum of 3 years in a customer service, inside sales, or administrative role.
    • Experience in coordinating between sales teams and operations departments is a plus.
  • Technical Skills:
    • Proficiency in QuickBooks.
    • Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
    • Familiarity with CRM systems, their purpose, and how they are used to manage customer relationships.
  • Personal Attributes:
    • Highly organized and detail-oriented.
    • Strong interpersonal skills, with the ability to build rapport with customers and sales teams.
    • Assertive and proactive in managing tasks and ensuring accountability.
    • Ability to multitask and work efficiently in a fast-paced environment.
